Introduction

A family business from Lanaudière working in the agricultural sector for more than 10 years, one of the family members suffered from chronic illness and discovered the medicinal properties of cannabis, sparking the family’s journey into the cultivation of medical cannabis. Since the entry into force of Health Canada's ACMPR in 2013, supported by a license for cultivation for personal medical purposes, the founding members of Plantations Cérès have had the privilege of perfecting their knowledge in a regulated environment. Following the mastery of various cultivation techniques, the family is proud to join this booming field, having obtained a commercial production license from Health Canada in December 2020.

The Challenge

In the rapidly evolving cannabis industry, managing traceability is a critical challenge. As the business grew, the company needed a reliable solution to ensure all regulatory requirements were met while maintaining operational efficiency. This led to exploring various options and ultimately partnering with Evora Technologies.

The Solution: Evora Software

Evora software became an integral part of daily operations, offering a comprehensive solution to traceability challenges. The onboarding experience was smooth, facilitated by the professionalism and expertise of the Evora team, which provided effective training that allowed staff to quickly adapt to the new system.

Within a month of implementation, the team was fully comfortable with data entry and system navigation. The intuitive design of Evora’s features, including the "Unlock" function, made it easy to learn and integrate into existing workflows.

Daily Operations with Evora

Evora is extensively utilized throughout daily operations. In the morning, the cultivation team uses the software to record data on room parameters, log plant fertilization, and input new fertilizer recipes. As the day progresses, the system supports various activities such as harvesting, drying, trimming, and packaging. It also plays a crucial role in tracking shipments and receipts, ensuring that all aspects of production are meticulously documented.

At the end of each day, Evora is used to log any plant destructions, providing a complete and accurate record of daily activities.

Looking ahead to 2024, the company plans to leverage Evora’s full potential by using it for equipment tracking and laboratory results, further enhancing operational efficiency.

Key Features and Benefits

Evora’s ability to log quantities on a daily basis has proven particularly valuable, allowing errors to be identified and corrected that might have gone unnoticed with paper records. The software’s filter functions also make it easy to sort through data and find exactly what is needed, streamlining processes.

Tracking processing activities has become significantly easier with Evora. The software allows quick tracing of a batch from cultivation to shipment with just a few clicks. This capability proved invaluable during a client audit, where the entire history of a batch was retrieved in just 15 minutes.

The system also enhances the ability to track analysis samples sent out for testing. For the accounting department, Evora simplifies the process by allowing shipments to be searched by "lab test," providing a clear overview of all samples sent.

Inventory Management

While the company is still in the process of fully integrating all inventory functions into the system, the features currently in use have already shown great promise. For instance, tracking growing media through Evora eliminates the need for physical counts, as the software provides an up-to-date record of all inventory linked to specific activities.

Quality Assurance and Reporting

Evora’s integrated Quality Management System (QMS) offers significant advantages for quality assurance processes. The software will greatly enhance the ability to track product recalls and ensure that equipment maintenance is conducted within acceptable timeframes. Additionally, the digital record-keeping provided by Evora eliminates issues related to deciphering handwritten notes, further improving accuracy and efficiency.

Monthly inventory reporting has become faster and more streamlined with Evora. The system’s comprehensive data management allows records to be easily corroborated, ensuring accuracy in reporting.

As the company plans for future growth, including the addition of a second building, Evora will play a crucial role in maintaining operational efficiency. The software will allow seamless management of documentation and tracking across multiple locations, supporting continued success in the cannabis industry.

Evora software has proven to be an invaluable tool in operations, enhancing the ability to meet regulatory requirements, streamline daily activities, and maintain the highest standards of quality and efficiency.
